Terms & Conditions
Effective: September 2026
1. Acceptance of Terms
By accessing or using FieldData ("the Service"), you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, please do not use the Service. By creating an account, uploading data, or distributing forms, you acknowledge that you have read, understood, and agree to be bound by these Terms.
2. License & Open Source
The Community edition of FieldData is released under the MIT License. You may use, modify, and distribute it freely, provided the copyright notice is retained. Other deployment arrangements, if offered, are governed by separate written agreements provided before you subscribe.
3. Acceptable Use
You agree not to use FieldData to collect data in violation of applicable laws, regulations, or ethical research standards. You must obtain informed consent from participants before collecting their data. You may not attempt unauthorized access, introduce harmful code, scrape or harvest data from other users, or use the Service to distribute spam or malicious content.
4. Data Ownership & Responsibility
You retain full ownership of all data you collect through FieldData. We do not access, share, sell, or analyze the contents of your forms or records. For self-hosted deployments, all data resides on your own server infrastructure. You are solely responsible for compliance with the data protection laws and research-ethics requirements applicable to your research (such as GDPR, HIPAA, CCPA, or local institutional review board requirements). FieldData does not certify or warrant that any particular deployment satisfies those obligations.
5. Privacy & Data Protection
Our privacy practices are described in the Privacy Policy. FieldData provides technical and organizational controls — role-based access control, audit logging, consent tracking, and export and deletion tooling — that organizations may use as part of their own compliance programs. Whether use of the Service satisfies a particular legal or regulatory obligation depends on your configuration, hosting arrangements, and legal advice; FieldData makes no compliance certification or legal guarantee. For privacy questions, contact us via WhatsApp at +233 507 363 199.
6. Service Availability
The Community edition is provided as-is, with no availability commitment. Availability targets, exclusions, and remedies — where offered at all — are defined in the written service agreement you accept before subscribing to a managed arrangement, not on this page. All support is provided via WhatsApp during published business hours.
7. Account Termination & Data Export
You may stop using the Service at any time and export your data via the Export Center or Data Interoperability APIs. What happens to your data afterwards depends on the deployment: self-hosted deployments keep data under your own control, and within any deployment the operator can configure per-project retention and purge rules. Any account-level retention or deletion commitments for a managed arrangement are stated in its service agreement.
8. Limitation of Liability
The Service is provided "as is" and "as available" without warranties of any kind, express or implied. To the maximum extent permitted by law, FieldData and its contributors are not liable for indirect, incidental, special, consequential, or punitive damages, including loss of data, revenue, or profits, arising from your use of or inability to use the Service.
9. Changes to Terms
We may update these Terms from time to time to reflect changes in law, feature updates, or operational requirements. We will notify users of material changes via in-app notification. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
10. Governing Law & Dispute Resolution
These Terms are governed by the laws of the jurisdiction in which you deploy the Service. Dispute-resolution arrangements for any managed arrangement are set out in the service agreement you accept before subscribing. For any questions about these Terms, contact us via WhatsApp at +233 507 363 199.
11. Support & Contact
All support requests, bug reports, feature requests, and account-related inquiries are handled exclusively via WhatsApp at +233 507 363 199. Our support team is available during business hours (9:00 AM – 6:00 PM GMT, Monday – Friday).
